The Second Rule of HR Software Purchasing

In fact, our second rule of HR software purchasing is all about making sure you choose a product that doesn’t cause pain and difficulty. Specifically, the rule is: Choose software that offers a straightforward and intuitive user experience.

Software that is hard to use frustrates and annoys users, and eventually it will no longer be used.

 

Let’s look at the example of online benefits enrollment software. If the software makes it hard for HR staff to interface with and share information with providers and carriers, they’ll likely revert to the manual, time-consuming processes you were hoping to replace. Perhaps even worse, if your employees have a hard time inputting their data or finding important information, not only will they balk at using the software, but they’ll also hold you accountable and likely take up your staff’s precious time asking questions and seeking assistance—the very problems you wanted the software to alleviate.

 

But how do you make sure the software you purchase is easy to use?

 

Get a demo.

 

According to a B2B software buying trends survey released in August by Capterra (http://blog.capterra.com/surprising-stats-about-business-software-buying-trends-2013/), one-third of software buyers don’t demo any software before making a purchase. And another 22 percent choose the first software they look at.

 

During the demo, don’t just focus on what the software can do. Observe the procedures involved in using the software, and ask yourself some questions. Does the procedure make sense? Will you be able to replicate it? Will your employees be able to do so? If the answer to any of those questions is “no,” the software violates the second rule of HR software purchasing, and thus is not the right fit for you.
